Food Safety Policy: What It Is and How to Write One

Every food business needs a written food safety policy. It is the document that tells your staff and your EHO how you manage food safety. Here is what to include and a free template.

What a policy is

Your food safety policy is your public commitment

A food safety policy is a short document that states who is responsible for food safety in your business, what your commitment to food safety is, and how you will achieve it. It is not your SFBB records — it is the statement that sits above them, explaining the system. Your EHO will ask to see it during an inspection. It should be signed by the business owner or most senior manager and reviewed at least annually.

What to include

Every food safety policy needs these five elements

1. Statement of intent. A clear commitment to producing safe food and complying with food safety law. One paragraph, signed by the owner.

2. Named responsibilities. Who is responsible for food safety? Name the person. Who deputises when they are away? Name them too.

3. Your food safety system. State that you use SFBB (or HACCP) as your food safety management system. Reference where the records are kept.

4. Training commitment. State that all food handlers will be trained to Level 2 or supervised by someone who is. List how training records are maintained.

5. Review commitment. State that the policy and the food safety system will be reviewed at least annually and whenever operations change. Read our food safety audit guide for how to conduct these reviews.

Proving it works

A policy is a promise. Records are the proof.

Your food safety policy means nothing if you cannot show it is being followed. An EHO will read your policy, then check your SFBB records to see if reality matches the promise. If your policy says "all food handlers are trained to Level 2" but you cannot produce certificates, your confidence in management score drops. If your policy says "cleaning schedules are completed daily" but three weeks are blank, the same thing happens.
