Why supplier approval matters for UK food safety compliance

Every ingredient that enters your kitchen carries risk. An unvetted supplier is the single most common vector for food fraud and contamination incidents in UK food businesses. The FSA requires you to demonstrate that all suppliers are approved and that you maintain a current, accessible list for EHO inspection.

Without an approved supplier list, you cannot prove due diligence. If a food safety incident is traced back to a supplier you cannot document, the liability lands entirely on your business — even if the fault originated upstream.

How to use this log

Using this approved supplier list in your daily procurement process

List every supplier by name, contact details, and the products they supply. Record their food safety certification status, the date of your last audit or review, and any allergens associated with their products. Update the list whenever you onboard a new supplier or a current supplier's certification changes.

Keep a printed copy in your SFBB folder and a digital version accessible to all managers. Digital SFBB systems allow you to store supplier certificates as attachments, set renewal reminders, and give your EHO instant access to the complete supplier database during inspections.

Common mistakes

Pitfalls that catch businesses during EHO inspections

Assuming approval is a one-off. Supplier certifications expire. A BRC or SALSA certificate from three years ago is worthless. Schedule annual reviews and document them.

Missing secondary suppliers. Many businesses list their main wholesaler but forget the local baker, the ice supplier, or the emergency cash-and-carry they use when stock runs low. Every single source must appear on the list.
