Why a structured cleaning schedule matters for UK food safety compliance
SFBB Safer Food Better Business requires every food business to document what gets cleaned, when, how, and by whom. An EHO will ask to see your cleaning schedule during every inspection. A verbal assurance that cleaning happens is not enough — you need written records.
Counter-intuitively, using hotter water for cleaning does not always improve hygiene. Detergents and sanitisers have optimal temperature ranges. Water above 60°C can denature some quaternary ammonium sanitisers, reducing their effectiveness. Your checklist must specify the correct chemical concentration and water temperature for each task.
Using this template to build your cleaning schedule
Break your premises into zones: food preparation, storage, service, wash-up, waste, and staff areas. For each zone, list every surface, item of equipment, and fixture that needs cleaning. Then assign frequency — after each use, daily, weekly, monthly — and specify the cleaning method, chemical, contact time, and who is responsible.
Post the completed schedule where staff can see it. Each cleaning task should be signed off with a date and initial. Digital SFBB takes this further: staff tick off tasks on their phone, the system tracks completion rates, and missed cleans are flagged to management in real time.
