Cleaning Schedule: Document Every Clean for EHO Confidence

A structured cleaning schedule covering daily, weekly and monthly tasks. Essential for SFBB compliance and maintaining a 5-star food hygiene rating.

Why it matters

Why a documented cleaning schedule matters for your hygiene rating

Cleaning is one of the four pillars of SFBB and an EHO inspector will ask to see your cleaning schedule before they even look at your surfaces. A verbal assurance that your team cleans regularly is not enough — you must show a written schedule with sign-off records.

Here is the counter-intuitive part: the most dangerous areas in your kitchen are not the ones that look dirty. Dry surfaces like shelf tops and light fittings harbour Staphylococcus aureus, which survives for weeks in dust and transfers to food via hands. Your cleaning schedule must cover these invisible risks, not just the visibly greasy spots.

How to use this schedule

Implementing this cleaning schedule in your kitchen operation

Divide tasks into daily, weekly and monthly frequencies. Assign each task to a named staff member with a completion checkbox and signature column. Store cleaning chemicals and COSHH data sheets nearby so staff know which product to use for each surface.

Post the schedule where it is visible — above the wash-up area or on the kitchen noticeboard. A digital SFBB cleaning schedule adds automatic reminders, photo evidence uploads for deep cleans, and a timestamped audit trail that eliminates disputes about whether a task was completed on time.

Common mistakes

Cleaning errors that fail EHO inspections

Cleaning cloths spreading bacteria. A cloth used on a raw meat prep surface then wiped across a salad station transfers pathogens invisibly. Use colour-coded cloths and change them between zones — your schedule should include cloth rotation and sanitising.

Deep cleans missed for months. Extract fans, drainage channels, and behind heavy equipment are classic EHO targets. If they are not on your schedule, they will not get done. See our Hand Washing Poster and Opening & Closing Checklist for complementary hygiene controls.
