Traceability is not just knowing where your ingredients came from — it is knowing where your finished products went. If a contamination incident is discovered after dispatch, your ability to recall affected product within hours rather than days determines how many consumers are protected and how much liability your business carries.

Counter-intuitive fact: the FSA requires full forward traceability — one step forward, one step back — for all food businesses, not just manufacturers. Even if you are a restaurant sending food to a satellite location or a caterer delivering to an event, you must record what went where, when, and under what conditions.

How to use this log

Using this dispatch log for complete forward traceability

Record for each dispatch: product description, batch or lot code, quantity, dispatch date and time, departure temperature (chilled below 5°C, hot above 63°C), vehicle or courier details, destination address, and the receiving contact. Retain records for the shelf life of the product plus six months, or two years for products without a shelf life.

Digital SFBB dispatch logs link outgoing batches to incoming ingredient lots, giving you end-to-end traceability in a single system. During a recall, you can identify every affected recipient in seconds rather than searching through paper logs, which is exactly what the FSA and your insurer expect.

Common mistakes

Dispatch errors that break your traceability chain

Missing batch codes. Without a batch code, you cannot link a dispatch to the specific production run. If a recall is required, you must recall everything you shipped that day — or worse, everything you ever shipped — because you cannot narrow the scope.
