Why product specifications are your legal shield — not just paperwork
If a supplier sends you an ingredient contaminated with an undeclared allergen and a customer has an anaphylactic reaction, you are legally responsible. The only thing standing between you and a criminal conviction under the Food Safety Act 1990 is your due diligence defence — and product specification sheets are the cornerstone of that defence. They prove you took reasonable steps to verify what was in the food you served.
Under Natasha's Law (October 2021), any food prepacked for direct sale must carry a full ingredients list with allergens emphasised. You cannot comply with this unless you have accurate, current specifications from every supplier. An EHO inspecting a business subject to Natasha's Law will ask to see your specification sheets and cross-reference them against your labelling — any mismatch is a non-compliance.
Building a specification library that survives an allergen incident investigation
Request a written specification from every supplier for every ingredient you purchase. The spec must include: product name, ingredient list with allergens in bold, nutritional information, storage conditions, shelf life, country of origin, and lot or batch coding system. File specifications where they can be retrieved quickly — not buried in an email inbox from three years ago.
Review specifications at least annually and whenever a supplier notifies you of a change.
