SQF Audit Checklist: Prepare Your Business for SQF Certification Success
A comprehensive SQF audit preparation checklist for UK food businesses. Covers the documentation, facility standards, and food safety management systems required for SQF certification.
Why SQF certification matters for UK food businesses
SQF (Safe Quality Food) certification is increasingly required by UK retailers, food service buyers, and export markets. It demonstrates that your food safety management system meets a globally recognised standard — going beyond basic SFBB compliance to cover supplier management, product traceability, and continuous improvement. Without SQF or an equivalent GFSI-benchmarked certification, you may be locked out of major supply contracts.
The counter-intuitive reality: SQF auditors do not start in the kitchen. They start with your documentation — and the most common major non-conformance in UK food businesses pursuing SQF certification is not a hygiene failure. It is incomplete or inaccurate record-keeping, particularly around corrective actions and verification activities. You can have the cleanest facility in the industry, but if you cannot prove that your food safety system is working through documented verification, you will fail the audit.
Using this SQF audit checklist for certification preparation
Begin preparation at least three months before your scheduled audit. Work through each SQF module systematically: management commitment, document control, specifications, food safety plan (HACCP), site standards, and verification. The SQF Code is structured as modules — your preparation should mirror that structure. Identify gaps, assign corrective actions with deadlines, and verify that each action has been completed and documented.
Conduct an internal audit using this checklist at least four weeks before the external audit. Treat the internal audit with the same rigour as the real thing. A digital food safety management system that integrates SFBB daily checks with SQF documentation requirements makes the audit process significantly smoother. Your auditor can review records, corrective actions, and trends without you scrambling for paper files.
SQF audit failures that are preventable
Unfinished corrective actions. An SQF auditor will trace every non-conformance from your internal audits and previous external audits. If corrective actions were recorded but not closed out with verified evidence, each one becomes a new finding.
Food safety plan not living. A HACCP plan written three years ago and never updated does not reflect your current operation. SQF requires that your food safety plan is reviewed at least annually and whenever processes change. Menu changes, new equipment, and new suppliers all trigger a review requirement.
Management commitment not evidenced. SQF requires documented evidence that senior management is actively involved in food safety — meeting minutes, resource allocation decisions, policy sign-offs. "The owner cares about quality" is not sufficient; it must be demonstrable.
