Why date mark confusion is a leading cause of food safety breaches and unnecessary waste
Use-by dates are about safety. Best-before dates are about quality. Display-until dates are for shop staff, not consumers. Mix these up and you either poison someone or throw away perfectly safe food — both bad outcomes for your business.
The FSA estimates that 30-40% of food thrown away by UK food businesses is discarded due to date label confusion. At the same time, EHO inspections regularly find food past its use-by date still in service — which is an automatic compliance failure regardless of whether the food appears fine. Use-by dates have no flexibility: once passed, the food must not be sold or served.
The distinction that catches many kitchens: once you open a packaged product, the original date may no longer apply. A UHT milk carton with a use-by date six months away lasts about three days once opened. Your chart must account for opened shelf life, not just unopened dates.
Using the expiration dates chart in your daily stock management
Post this chart in your dry store, cold room, and prep kitchen. Train staff to check dates on delivery (reject anything with less than the agreed shelf life remaining), during stock rotation (FIFO), and before use in preparation. Any item past its use-by date must be discarded and recorded as waste.
For best-before items, use sensory judgement — look, smell, taste (when safe). A dried pasta three months past its best-before is almost certainly fine. A tin of tomatoes three years past may have degraded but is unlikely to be unsafe if the can is intact. Document your policy on best-before flex in your food safety management system.
