Why product specifications are your legal safety net
Most food business owners are shocked to learn that your supplier's specification sheet is a legal document. Under UK food law, if an allergen incident occurs and you cannot produce the original specification sheet for the ingredient involved, liability shifts entirely to your business — regardless of whether the supplier made the error. You are legally responsible for verifying and retaining specification data for every ingredient you use.
This is especially critical under Natasha's Law, which requires full ingredient and allergen labelling for all food pre-packed for direct sale. Without a specification sheet for each component, you cannot legally create your labels. An EHO will ask to see your spec file during any allergen-focused inspection.

Request a specification sheet from every supplier for every ingredient you purchase. Transfer the critical data into this template: supplier name and approval status, ingredient composition, all 14 declarable allergens, nutritional values per 100g, storage requirements, and shelf life. File specifications by category and review them whenever a supplier changes formulation.

Specification errors that create legal risk
